Word processors, spreadsheets, and browser forms can reflow when opened on another system. A PDF fixes page dimensions and gives you a reliable preview of what the fax service will process.

Always open the exported copy. Missing fonts, clipped table columns, unsigned signature fields, comment balloons, or hidden spreadsheet pages are document problems that a fax service cannot infer or correct.

• Flatten or finalize annotations you intend the recipient to see
• Remove comments, revision history, and unused blank pages
• Use portrait or landscape orientation intentionally for each page

On a larger screen, it is easier to compare a long fax against a checklist, rename attachments, and place documents in the required order. This matters for applications with a form, evidence, identification, and a cover sheet.

If you scanned paper on a multifunction printer, check both sides of every sheet and delete accidental blank backs. Confirm that automatic document feeding did not pull two pages together.

Older fax software often relied on a dial-up fax modem connected to a telephone line. A browser-based service sends the uploaded document through its own transmission provider, so your computer does not dial the recipient.
