PDF fax guide
Fax the PDF you already have, after one careful review.
PDF is the most predictable format for forms and multipage documents. Make sure the final file opens correctly, then upload and send it without printing.
- Format
- Maximum
- 100 final pages
- Password
- Must be removed
- Printing
- Not required
Practical steps
PDF preflight and send
Open the final PDF
Scroll every page and confirm filled fields, signatures, dates, attachments, orientation, and page order.
Remove transmission blockers
Create an unlocked copy if the PDF requires a password. Repair or re-export files that show errors, missing fonts, or blank pages.
Upload and compare the count
Add the PDF, destination, and email. Compare the prepared page count with the count in your PDF viewer before checkout.
Pay and watch the final state
Complete the $5 checkout, then distinguish queued or sending progress from the final delivered or failed result.
PDF quality check
- File opens without a password
- Every page renders instead of showing an error or missing font
- Form fields and signatures are saved into the final copy
- Page count and order match your submission checklist
- Small text and faint handwriting remain readable
Why PDF is a strong fax source
A PDF groups pages into a stable order and preserves page size better than separate camera photos. It is easy to review at high zoom, count pages, and save alongside the eventual delivery result.
PDF does not guarantee quality. A blurry scan embedded in a PDF remains blurry, and a fillable form can look complete in one app while its unsaved fields disappear elsewhere. Reopen the final saved file in a second viewer when the document is important.
- Use common letter-size or legal-size pages when the recipient specifies them
- Keep text and signatures high contrast
- Check landscape tables at readable zoom
Password protection prevents preparation
A fax service must read and prepare the document before transmission. If the PDF is encrypted with an open password or blocks the required processing, it cannot be faxed as supplied.
Only remove protection when you are authorized to do so. Open the file with the correct password, save or print an unlocked transmission copy, close it, and verify that the new copy opens without prompting.
Page count is a content check, not just a limit
The prepared count should match the document you intended, plus any cover page. A mismatch can reveal duplicated uploads, hidden blank pages, or a missing attachment before you pay.
For long submissions, add page numbers within the document when the recipient allows it. A “Page 3 of 18” footer helps both sides identify missing or out-of-order pages, but do not alter official forms that prohibit changes.
Questions, answered
Details before you send.
Can I fax a password-protected PDF?
No. Create an unlocked copy that you are authorized to transmit and verify it opens without a password before uploading.
Will color stay in the fax?
Do not rely on color. Fax transmission and the receiving equipment may render pages in grayscale or monochrome, so use clear contrast and labels that work without color.
Does a cover page count toward 100 pages?
Yes. The cover page is part of the final prepared fax and counts toward the 100-page maximum.
Should I compress my PDF first?
Only if needed and only after checking readability. Heavy compression can damage small text, signatures, and scan detail.
Ready when the document is
