What online faxing changes, and what it does not
Online faxing changes your side of the process. Instead of printing paper and dialing from a fax machine, you upload a digital document through a browser. The service prepares the pages and connects to the recipient’s fax line.
The receiving side is still fax. A busy signal, disconnected number, line-quality problem, or machine that does not answer can still prevent delivery. A status marked “delivered” is useful transmission evidence, but it does not prove the correct person read or processed the document.

Prepare the document for a machine, not a screen
Fax output is optimized for document transmission, not for preserving every color or tiny visual detail. High-contrast black text on a white background works best. Check faint signatures, small type, shaded form fields, and photographs before sending.
When several files belong to one submission, put them in the order the recipient expects. Keep any instruction sheet first, followed by the form and supporting pages. The review step is the last chance to catch an upside-down scan or accidental duplicate.
Keep your own submission record
Use an email address you can access until the transmission reaches a final state. Keep the result email with the exact version of the file you sent and any case, claim, or confirmation number the recipient gave you.
For deadlines, send early enough to correct a wrong number or retry a line failure. Some organizations treat fax transmission time differently from receipt, review, or filing time. Their rules control, not the timestamp alone.
