This notice explains the information needed to prepare, pay for, transmit, report, protect, and support a one-time fax.
Information used for a fax
Just One Fax processes the destination fax number, confirmation email, uploaded documents, optional cover-page information, page and file metadata, transaction and status identifiers, provider events, and technical data used for security and reliability.
Payment details are collected and processed through the checkout provider. Just One Fax receives payment status and transaction references needed to associate payment with the fax; it does not need to create a reusable card profile for a Just One Fax account.
Why the information is used
- Validate and prepare supported documents before checkout.
- Transmit the prepared document to the fax number you provide.
- Show status and email the final delivery or failure result.
- Support retries, refunds, customer questions, and transaction accounting.
- Prevent spam, fraud, abusive uploads, and prohibited use.
- Maintain service reliability and comply with legal obligations.
Document retention and deletion
Documents are stored temporarily while a fax is prepared and sent. A delivered fax document is deleted after transmission. If delivery fails, the document may be retained briefly so a retry can occur, then deleted. An abandoned prepared document is deleted after its limited preparation window.
Deletion of the uploaded document does not delete every transaction record at the same time. Destination, email, status, payment, fraud-prevention, support, and accounting metadata may be retained for operational or legal reasons. Provider records are also governed by the relevant provider’s own obligations and policies.
Service providers
Information is disclosed to service providers only as needed for their role, including infrastructure and temporary storage, payment checkout, fax transmission, email delivery, abuse prevention, monitoring, and support. A recipient and its fax provider necessarily receive the fax you direct us to send.
Security and compliance boundaries
No internet or telecommunications service can promise absolute security or guaranteed delivery. Use a destination verified from the recipient, limit cover-page information, and do not share private status links.
Just One Fax does not advertise HIPAA compliance. Account-free checkout, access controls, and document deletion do not replace a required agreement, certification, regulated workflow, or sender risk assessment. If legal, health, financial, employment, or contractual requirements apply, confirm suitability before uploading.
Your choices and responsibilities
You can choose not to upload a document, use a different delivery channel, remove unnecessary information, or use an in-person or specialized provider. You are responsible for the accuracy of the destination and your authority to transmit the document.
Keep your own final document and result email. Because there is no account dashboard, those records are the practical way to retain your transaction evidence.
